Saying "No" Politely

Exercise 1: Complete the Dialogue

Instruction: Complete Role B's lines, politely refusing and following the prompts in brackets.

 1.  Situation: A colleague asks for help with a report.

A: "Hi, I'm running behind on preparing the presentation for tomorrow morning. Could you possibly help me?"

B: (Politely refuse, citing your own workload, and suggest another colleague, Marina.)

       Your answer: __________________________________________________________

 2.  Situation: A host offers you food.

A: "Please, you have to try this cake! It's a family recipe!"

B: (You don't eat sugar. Refuse politely, thank them, and explain briefly.)

       Your answer: __________________________________________________________

Exercise 2: Find and Correct the Mistake

Instruction: These refusal responses contain one mistake (they are too direct, blunt, or impolite). Identify it and rewrite the response to be polite and diplomatic.

 1.  Situation: An invitation to an event.

Original: "No, I can't come to your event. I'm busy that day."

       Corrected version: _________________________________________________

 2.  Situation: An offer of alcohol.

       Original: "I don't drink. It's unhealthy."

       Corrected version: _________________________________________________

Exercise 3: Match the Situation and the Response

Instruction: Match the situation (1-4) with the most appropriate and polite response (A-D).

 Situations:

1. You are offered a strong coffee late in the evening.

2. Your manager asks you to work late, but you have important personal plans.

3. A client invites you to an expensive dinner that you cannot accept.

4. A colleague asks to borrow money from you.

 Responses:

   A. "Thank you for the generous invitation, but unfortunately, I won't be able to join. I hope we can do it another time."

   B. "Thanks for the offer, but I'll have to decline. Coffee this late might keep me awake."

   C. "I appreciate your trust, but I prefer not to lend money to colleagues to avoid any potential misunderstandings."

   D. "Unfortunately, I have a prior commitment this evening that I can't reschedule. I would be happy to stay late tomorrow if that works."

Exercise 4: Write an Alternative Response. Instruction: For each of the original six situations, write an alternative, equally polite way to refuse. Use different vocabulary and sentence structures.

 Example: Situation 1 (The Champagne)

Original response: "I actually don't drink alcohol, but I would love a sparkling water to join in the toast."

Alternative response: "That's very kind, thank you! I don't tend to drink alcohol, but I'd be happy to toast with a soft drink."
